Once landowner approval has been given, promotion for the event well ahead of time helps raise the profile of the event and can encourage community support and participation.

Providing instructions that are clear and easy to understand for participants will assist in ensuring everyone fully understands their respective roles and responsibilities.

Special attention should be drawn to how participants should behave during the event in order to address any site specific or safety concerns that have arisen during the planning stages.
