How We Use Your Personal Information


1. We collect the following information about you as part of the online booking process

• Name of person (parent/ carer) making the booking.

• Telephone number of person making the booking.

• E-mail address of person making the booking.

• Address of person making the booking.

• Payment details of person making the booking.

Additional information will be collected through a registration form that will be e-mailed to you once you have booked onto the session.

• Emergency contact details.

• Name of participating children, ages, gender, dietary requirements, any allergies.

• Information on any current conditions, medication or treatments that might affect you or your children’s ability to take part.

• Photo/ video audio consent.

• Demographic data to ensure that our services are inclusive and to provide evidence to funders.

Data is anonymised for analysis and reporting purposes – Ethnicity, Economic Activity (You do not have to provide this information and can select prefer not to say.)


2. To Manage 1st 100 Days Sessions

We collect your information to:

• Provide you and participating children with access to 1st 1000 Days sessions.

• Ensure you and participating children understand how to take part in 1st 1000 Day sessions safely and effectively (with your consent).

• Improve accessibility to ensure your needs and needs of participating children are met.

• Provide evidence to funders.

• Photos and videos are used to promote the project.


3. To Make the Service Better

We may use your information to:

• Check how the service is working.

• Plan how to improve it in the future.

If we ask you to fill in a survey:

• It won’t include your name or anything that can identify you.

We do this to:

• Make sure the service is safe, useful, and meets people’s needs.


4. Your Permission (Consent)

We will only take photos and videos of you and participating children if you say it’s okay — by ticking a box on the registration form.

We will only share information about you if you say it’s okay — for example, by ticking a box on a form.


5. How We Keep Your Information Safe

Your forms are stored safely for 7 years.

We keep them in case of legal or insurance reasons.

We do this because:

• We have a good reason to keep the information.

• It’s needed to show how the service was used.

• We only collect what’s necessary, and we keep it private and secure.
